“I”, “our”, “us”, “UKCF”, or “we” refer to The UK Careers Fair Limited.
”Visitor” or ”candidate” refers to the person[s] attending Customer Sites/Platforms or using our services or our customer services for informative purposes only.
“Customer”, “the user”, ”employer” refers to the person(s) of any given organisation using our services or accessing our website for a purpose, not of their own.
“Third-party” refers to our customers’ customer(s) - when a Third-party accesses our Customer Platform/Site.
“Platform” or “Sites” refers to the event itself, hosted by us, UKCF or our Customers.
“Services” entails all the services we provide, dependant on the product required, this can be found on our website or the specifications outlined in the service agreement.
A “Data Controller” is the person who determines what data to collect and how to use it.
A “Data Processor” acts for a data controller and is instructed by the data controller on what data to collect and how to use it.
A “Data Subject” is any person whose personal data is being collected, held, or processed.
GDPR means General Data Protection Act.
PECR means Privacy &, Electronic Communications Regulation.
ICO means the Information Commissioner’s Office.
Cookies mean small files stored on a user’s computer or device.
A Customer Platform/Site may also enable you to interact with third parties (“Third Party”) like physical/live/in-person careers/jobs fair, whereby you can chat and exchange details with exhibitors on the day. In this scenario, your Personal Information may be collected, used, and shared by the Third Party according to any terms established between our Customer and the Third Party, as well as the policies of the Third Party, and your own choices and settings. The Relationship with the Third Party’s is managed by our customer, not UKCF, UKCF relationship with Third Party’s is limited to terms of the agreement with our Customer.
The Data Protection Policy employed by The UK Careers Fair Limited has been developed as an extension of our commitment to combine the finest quality services with the highest level of integrity in dealing with our stakeholders. This policy has been updated to be in line with GDPR standards in our on-going commitment to protecting the privacy and security of both the Visitors and employer’s personal information. This policy guides you through how we collect store and use information about Customers, Visitors, Third Parties, individuals, and organisations. It will be continuously assessed against new technologies, business practices and the changing needs of everyone we deal with. Both a data controller and data processor are legally responsible for ensuring that the data subjects’ personal information is handled in accordance with the laws on data protection. The UK Careers Fair Limited is a “controller” of the “subjects” personal information. Our address is currently Unit 2, Farnborough Business Centre, Eelmoor Road, Farnborough, Hampshire, GU14 7XA. Our Data Protection Policy recognises various sources that concern the data subjects and the relevant personal data that deserves mentioning.
The Information We Collect When Using Platform/Sites
The Information we may obtain about you comes from various sources, including our Platform/Site, incoming telephone calls, emails, when you communicate via social media, when you download an event ticket or when you choose to participate in an Event. Information may also be collected from business associates or partners and other third parties and publicly available and accessible information, including from our customers prior to or during an event. We may also collect your information at different points in connection with our business and the Platform/Sites, including your expression of interest, registration, company-profile submissions, use of the Platform/Sites, interactions with us, live chat and during an Event, when applicable and when you choose to log on and attend our event via a social media profile to execute some of the features we offer – we may collect information in this regard.
Personal Information: This is information you choose to disclose, and information that identifies you, such as your email address, first name, last name, middle name, preferred name, contact methods, social media profile – when you choose to log on with social media credentials to execute features, agent contact.
Demographic/Socioeconomic Information: This is information you choose to provide or disclose with the relevant parties, employment status, education level, data that tracks visitor’s activity on our web site or online service, experience level, postal code area, country of residence.
Aggregate Information: Such as ticket downloads, Expression an interest forms, stands/pages visits, engagement rates, time on Platform/Site, Platform/Site uses for engagement purposes, enquiry forms.
Automated Information: The information we collect when using our Platform/Sites or by an automated means, such as cookies – discussed further below, the information we collect includes, but is not limited to, device information about what devices our visitors use to access our Platform/Site, Search terms used by Customers or Visitors in order to reach our Platform/Sites, Pages and URLs that refers visitors to our Platform/Sites, also pages and URLs that visitors exit to - once they leave our Sites; Dates and times of visits to our Sites; Information on actions taken on our Sites (such as page views, site navigation patterns or application activity); A general geographic location from which a visitor accesses our Sites.
Preferential Information: This is information you choose to disclose or send through to the desired Customer or Third party, including your employment status, work experience, CV, Cover letter, Skills, qualifications, certifications, the industry of interest, locations of interest for work purposes, by choosing to attend our event we also partake in filming and photography of events in which you may appear, time zones.
Customer Identifiable Information: Includes elements from demographic, aggregate, preferential and personal information, any information that is not made available for public records, email address and the organisations representative general contact information, locations of interest for employment purposes, job vacancies, billing information, exhibitor information, digital assets, and any other information required to host a customer event, content submission such as file uploads, online chat transcripts, third party company details for stand development purposes, preferential information. If your relationship with us includes providing The UK Careers Fair Limited with any of the above data, we aim to delicately handle and process the above information with extra care. Customers is anyone using our services in general and platform to host their own event (“Customer Events”). The UKCF is collecting, using, and sharing your Personal Information on behalf of our customer, rather than for the purposes of UKCF. This information is readily available to the Customer, and you should contact the customer directly for information about the data that has been collected.
How we use the Information We Collect When Using Platform/Sites
The Purpose of the information we collect is outlined below, the list below is not exhaustive but helps to give a better idea of how we may use the information collected or the information you, in turn, have provided.
Create, manage, and maintain your virtual stand on the applicable Platform/Sites.
Provide you with the Platform/Sites and other services that you request and as per the terms outlined in the service agreement.
Third-party management, when it comes to building stands & onboarding and general event support.
participation in events hosted on the Sites, where you have signed up for such events and promotions.
“Platform” or “Sites” refers to the event itself, hosted by us, UKCF or our Customers.
Create, manage, and maintain your account with us on the applicable Platform/Sites.
Provide our customers with post-event reports.
Create, manage, and maintain your bespoke virtual event on the applicable
Maintain a record of the events in which you participate, including stats surrounding your participation, including event attendance, stand visits, and any other metric put in place.
Enable you to interact with other event participants.
Provide administrative notices or communications applicable to your use of the Sites.
Respond to your questions and comments and provide customer support.
Operate, evaluate, and improve our business and the products and services we offer.
Analysis, in the form of enhancing certain marketing communications and strategies, assessing the trends and statistics regarding visitors’ use of our Platform/Sites, mobile access and social media assets, and the stands viewed or applied to on our Platform/Sites.
Provide constant tech support to maintain Platform/Site quality, including security measures put in place to protect against unwanted and illegal activities.
Notify you from time to time about relevant services by UKCF, whether this is in a selling capacity or an invitation to attend.
Enforce our Sites Term and Conditions and legal rights.
Comply with applicable legal requirements and industry standards and our policies.
Computer identifiable information, technical information about your computer and your access to the Sites, collected by an automated means - cookies.
For the purposes of UKCF we may collect, compile, store, publish, promote, report, share or otherwise disclose or use all Aggregated Information collected or provided, however, unless otherwise disclosed in this policy or terms or service, we will not sell or otherwise transfer or disclose your Personal Information to a third party without your consent.
For the purposes of the Customer’s, The UKCF may process, collect, compile, store, publish, promote, report, share or otherwise disclose any pre or post-event analysis or information collected on the Customers Platform/Site, details of the data capture required and requested would have been agreed in the Terms of service or verbally agreed before the event takes place, so the measuring tools and facilities are in place, this data may contain your personal information, the data that we process through the Platform/Sites, in that case, is processed on behalf of our customer, and our privacy practices are governed by the service agreement or contracts that we have in place prior to the event taking place, with our customers. If you have any questions or concerns about this information and how such data is handled or if you would like to exercise your rights, you should contact the data controller, the Customer, who has engaged our services and contracted us to use the Customer Platform/Site to process this data. UKCF customers, and on occasions, a Third Party – defined above, control the Personal Information in such a case, we will do all we can to help our customers address any concerns you may or may not have, in accordance with the terms of our contract with them, in the event, we seek to use the information obtained about you, in other ways, we will provide specific notice and request your consent at the time of collection.
Information You/We Choose to Share
For the purposes of the Visitor, your information will be handled and processed within the confinements of The UK Careers Fair Limited. When applicable we may publish and release digital footage of our events in which you may appear, this footage may be on our social media accounts. We may also share demographic or aggregated information when it comes to advertising the event to companies. For the purposes of the Customer, we may share information for tax purposes with the HMRC and third-party suppliers where the information is required to carry out our contractual duties.
Visitors will create a temporary account with us applicable Platform/Sites, UKCF will collect and retain information about you, some of which may be Personal Information. You may be required to provide additional information when registering for a Customer event including, but not limited to, photo, CV, work experience, educational qualification, location, skills, industry.
The information you provide is collected by UKCF and is shared with the exhibitors participating in the Event, which may be the customer themselves or a Third Party. This may include personal information. Conversations and chat history is not kept on our system but is accessible from a third party, this may include conversations both public and private with exhibitors or other candidates, you should always be wary of the information you disclose on a public stage or to a candidate if exchanging information, or disclosing information in a private matter - whether candidate to candidate or candidate to exhibitor basis, the UKCF cannot be held accountable, the information you choose to share and disclose to other candidates, exhibitors or companies in attendance, you may be subject to the policies of the respective exhibitor or company after this information has been shared, UKCF is not responsible for these policies. This information you choose to share is entirely optional as is any information you decide to share within the event or beyond the registration point.
We may share your Personal Information with third-party contractors or service providers to provide you with the services that we offer you through our Platform/Sites; to provide technical support, or to provide specific services in accordance with your instructions as per the service agreement. These third parties are required not to use your Personal Information other than to provide the services requested by UKCF.
We may also disclose specific user information when we determine, in good faith, that such disclosure is necessary to comply with the law, to cooperate with or seek assistance from law enforcement, to prevent a crime or protect national security, or to protect the interests or safety of UKCF, our customers, or other users of the Platform/Sites.
You should be aware that any Personal Information you submit on the Sites may be read, collected, or used by other users of UKCF, and could be used to send you unsolicited messages. In addition, any personal information you submit in an Event can be read, collected, or used by participating companies, and could be used to send you unsolicited messages. We are not responsible for the Personal Information you choose to submit to the Platform/Sites.
Companies, clients and exhibitors decide to share certain information, to customise their stand, on this assumption, the UKCF are trusting that any information submitted from exhibitors is their intellectual property, and with that, the property is being used for company purposes - the UKCF accept no responsibility for such submissions, and cannot, therefore, be held accountable for any legal issues arising from this.
How We Protect Personal Information
Please note that no electronic transmission of information can be entirely secure. We cannot guarantee that the security measures we have in place to safeguard Personal Information will never be defeated or fail, but we will always have measures in place that will always be sufficient or effective. Therefore, although we are committed to protecting your privacy, we do not promise, and you should not expect, that your Personal Information will always remain private. As a user of the Sites, you understand and agree that you assume all responsibility and risk for your use of the Sites, the internet generally, and the documents you post or access and for your conduct on and off the Sites. To further protect yourself, you should safeguard your UKCF Platform/Sites username and password and not share that information with anyone. You should also log off from and close your browser window when you have finished your visit to our Sites. Please note that we will never ask for your UKCF account password via email. The UKCF maintains administrative, technical, and physical safeguards designed to assist us in protecting the Personal Information we collect against accidental, unlawful, or unauthorized destruction, loss, alteration, access, disclosure or use. UKCF does not safeguard your Personal Information from our customers when they are acting as the controller of your Personal Information, including when held by our customers outside of the Platform/Sites, or a Third Party authorized to join a Customer Platform/Site. They are responsible for handling Personal Information in accordance with their privacy policies.
About Cookies, Web Beacons, tracking choices and Third Party Service Providers
UKCF does not intentionally gather information about visitors who are under the age of 13, if you are under the age of 13, you are not authorized to use Platform/Sites without the parental/guardian guidance.
Your rights in connection with personal information
Under certain circumstances, by law and Depending on your location, you may have the right to exercise certain privacy rights under applicable laws, including the right of erasure, the right to object to processing, the right to restrict processing, and the right to access / data portability. To exercise any of the above rights, please contact us at the email address listed below. To comply with your request, we may have to verify your identity. If we are processing your Personal Information on behalf of our customer, we will direct you to instead make your request to our customer, or may, in some instances, contact the customer directly on your behalf. You may also have the right to make a complaint to the relevant authorities. This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it.Request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected; company checks will also be carried to support your request.Request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. UKCF will comply with all applicable data protection and privacy laws & regulations in the performance of its obligations under the General Data Protection Regulation (“GDPR”, from the GDPR implementation date) or, until GDPR implementation date, the Data Protection Act 1998 (“Data Protection Laws”).
The UK Careers Fair Limited Data Protection Policy has been developed out of respect for the privacy preferences and choices of our candidates, suppliers, customers, associates and staff and all other concerning stakeholders. We have implemented and established procedures to ensure that every reasonable effort is made to address any concerns you may have from time to time this policy may undergo an update, you will do your best to check for any update or changes.
